Terms & Conditions:
1. Have you received approval for this booking? Only make a payment if approval has been received following the submission of an application form to trade. Payments received without approval will be refunded less a £20 admin fee.
2. Immediate payment is required to guarantee the stall. Please include your trading name in the notes so we can match up your payment with your booking.
3. All bookings are final. The stall fee is non refundable and cannot be transferred to other events. Please see our cancellation policy for full details.
3. Electricity is not guaranteed with a stall and is at the discretion of the organiser and venue. Any electrical equipment allowed must be PAT tested, safe and wires taped down.
4. Not all venues have tables and chairs available to use and those that do have a limited availability. This information can be found in the trader information. You must submit a request and receive confirmation to secure the use of these if available. Priority is given to the tea party, front desk, salon and table top stalls. Please do not take furniture from these at events.
5. Items for sale at this event must be as detailed in the application form. Stallholders may not bring different items unless having received permission from the organiser.
6. Stallholders must arrive no later than one hour before the event opens or you will forfeit your stall.
7. Stallholders must not pack up or prepare to leave before the closing time of the event. Stallholders who try to leave early or who contravene health and safety for our customers by moving stock and fittings before pack up time will not be permitted to trade with us again. Stallholders are not allowed to use loading exits before the closing time and may be reported for risking customer safety. Anyone doing so may be prosecuted for endangering members of the public and other traders.
8. In the interest of health and safety, walkways and fire exits must be kept clear at all times during the event. Stock and fittings will be removed from your pitch if you have not left enough room for walkways.
9. Lou Lou's Vintage Fair has the right to cancel your stall at any time and for any reason.
10. Lou Lou's Vintage Fair bears no liability for loss, damage or theft of items during the event.
11. Lou Lou's Vintage Fair is not responsible for stallholder parking or parking fines.
12. Stallholders are responsible for your own property and safety at our events. Public and product liability insurance to cover your stall and stock is recommended. Stallholders and stock are not covered under the organiser’s insurance policy.
13. In the event of a venue cancellation, we are unable to refund or transfer stalls but will try and seek costs from the responsible party.
14. Pitch spaces must be left exactly as found. All rubbish and waste must be taken away with you and not left at the venue.
15. It is the stallholders’ responsibility to ensure they have all the relevant information/stallholder guide about the day. All trader information for the event is included in your payment confirmation and will be sent out with the floor plan on the Thurs/ Fri before the event.
16. No one is to enter the building before the specified set up time. No stallholders should remain after the exit time.
17. Early arrivers or late leavers who incur any additional hire fees will be billed for these charges.
18. Stallholders should be careful not to damage venues whilst loading or setting up. This includes sticking anything to walls. Any damage caused to venues will be billed to the responsible parties.
19. No shows at events will be unable to stand at future events. No refunds will be given.
20. Positioning is strictly down to the organiser.
21. Stallholders must not set up without being shown their allocated space.
22. All floor plans are subject to change at the request of the organiser. Anyone who does not cooperate with changes may be asked to leave the event without refund.
23. Lou Lou's shall be under no liability for delay or failure to provide the services as a result of any act or circumstances beyond reasonable control including but not limited to, Act of God, legislation, injury, terrorism, war, fire, pandemic, lockdowns, failure of power supply, bad weather conditions, lock out or strike.

Cancellation policy:
In the case of cancellation, the stall holder must inform the organiser. Stall bookings are final and non-refundable. However, if a stall booking is cancelled within reasonable notice, the organiser will endeavour to sell the pitch on to a new stallholder in order to recoup the money and offer credit against future stalls minus a £20 admin fee. In this case, any refunds or credit granted are done so at the discretion of the organiser. The organiser has the right to deduct any associated costs incurred and admin fees from a refund or credit. A record of all stall cancellations and no shows is kept. No shows will count against you in future applications.

Credit policy: When organisers have agreed to let a stall/tea party under credit terms, eg.payment on the day. This is binding and must be paid whether you attend or not. Unpaid invoices will be passed on to a collection agency and you will be unable to attend future event. The organiser reserves the right to take payments meant for other events to pay unpaid invoices.

Banned Item List:
The following items are not permitted at our events and will be removed by fair managers:

• Printed T-shirts or jumpers (unless agreed)
• Mass produced clothing, jewellery and accessories
• Reproduction clothing not made by the trader themselves
• '90s or later clothing
• High Street branded goods - High Street goods that you believe are pre-90s must be clearly labelled as such for fair managers and customers to see.
• Modern cosmetics that aren’t in a vintage style
• Real furs
• Items that may be seen as offensive.
• Food and drink to sell (the tea party have the exclusive right to sell food and drink)
